Alert Scenarios

You are here:

ALERTEL is the go-to solution for sending mass or targeted alerts. Whether by automated phone calls or SMS, activate a crisis team or a technical call-out from a simple event (email, SMS, call or voicemail), with full management of acknowledgements and escalation.

Local Authorities: emergency plan and public alerts

Trigger an emergency plan alert or a municipal alert in seconds to inform residents, share official instructions and keep your area safe. In the event of a natural hazard, a major incident or urgent information (flooding, storms, school closures, service disruption), the alert is sent by automated calls and SMS, with neighbourhood targeting and retries until receipt is confirmed.

Natural hazards: floods / rising rivers / storms
  • Targeting by neighbourhood, street or at-risk area (flood zones, northern sector, riverside).
  • Delivery from a list (Excel / directory): calls + SMS with safety instructions.
  • Automatic retries to people not reached or who have not confirmed.
Urgent information: schools / services / traffic
  • School closures and instructions for parents (times, childcare arrangements, school transport).
  • Major roadworks: closed streets, diversions, restricted access, service interruptions.
  • Severe weather: warnings, recommendations, useful contacts (town hall, on-call, emergency services).
Emergency plan: crisis team mobilisation & field management
  • Plan activation: automated calls to elected officials, staff, social services, municipal police and contractors.
  • Instructions: assembly point, on-call duty, role allocation, link to procedure.
  • Traceability: track confirmations to check mobilisation in real time.
✓ Safety bonus

Confirmation of receipt by DTMF keypress (e.g. "Press 1 to confirm") and automatic retries for anyone who has not confirmed, to secure delivery of your emergency plan alert / municipal alert.

Sample alert message

"Municipal alert: flood risk in the northern sector. Get to safety, avoid travelling and follow official instructions."

Industry / IoT: "critical threshold" alerts (sensors)

Automate your industrial alerts and IoT alerts as soon as a sensor detects a threshold breach (temperature, pressure, level, vibration, energy). If an anomaly occurs on a machine, a production line or a cold room, the alert is sent immediately by voice call and SMS to the right site's on-call team, with retries and escalation until the response is confirmed.

Use case: temperature / pressure / level exceeded on industrial equipment, a tank, a silo, a production line or an IoT sensor. On-call technicians must step in without delay to limit production downtime, machine damage or safety risks.

›
Goal: monitoring of industrial machines and IoT sensors, with immediate notification of on-call teams.
›
Trigger: automatic SMS from equipment (sensors), monitoring email (SCADA, BMS, monitoring), or API / webhook event.
›
Smart filtering: content analysis so that only real alerts are triggered (e.g. "CRITICAL", "TEMP > 80°C", "PRESSURE > 12 bar"), reducing false alarms and noise.
›
Targeting by site and on-call duty: automatic routing to the right team (maintenance, HSE, production) based on the site, line or equipment, by checking the PLANITEL schedule of on-call technicians.
›
Call scenario & escalation: call to the L1 on-call engineer (acknowledged by keypress), automatic retry, then escalation to L2 / manager if there is no answer until the response is confirmed.
Sample alert message

"Industry / IoT alert: critical threshold detected on line 3 (TEMP > 80°C). Intervention required. To confirm receipt, press 1; to replay, press 2."

Retail / Stores: "till failure / security / closure" alerts

React immediately to an in-store incident with an automated retail alert. In the event of a till failure, an intrusion, a power cut or a security incident, the alert is sent by voice call and SMS to the right people (store manager, retail IT on-call, security), with acknowledgement, retries and escalation until confirmed.

Use cases: store incidents & continuity
  • Till unavailable (card terminal/payment down, till frozen, till network down).
  • Intrusion alarm (out of hours, sensitive area, forced door).
  • Power cut (fridges/display cases, lighting, early closure).
  • Security incident (assault, crowding, precautionary evacuation).
Triggers: alarm, monitoring, missed call
  • Store alarm (intrusion / security / fire safety system depending on equipment).
  • Network monitoring (internet link down, VPN, connected till, card terminal).
  • Missed call from the site (night-time call, manager unavailable, immediate escalation).
Routing & escalation: the right person, right away
  • Routing: store manager + retail IT on-call + security (depending on the alert type).
  • Acknowledgement: confirmation by keypress (e.g. "press 1") to confirm the alert is being handled.
  • Retries if there is no answer, then escalation to the regional manager if needed.
✓ Operational bonus

Each alert can include the site, the time, the incident type and a link to the internal procedure (closure, security, till troubleshooting), to speed up decisions and service recovery.

Sample alert message

"Store alert: intrusion alarm at site A. Immediate intervention required. To confirm you are handling it, press 1; to replay, press 2."

IT alerts / server alerts: 24/7 critical monitoring

Trigger an IT ALERT or a SERVER ALERT in real time as soon as an incident is detected (server unavailable, service stopped, CPU/RAM saturated, disk full, failed backup, application outage). The alert is sent automatically by voice call and SMS to the IT on-call team, with retries and escalation until the response is confirmed, reducing downtime and safeguarding service continuity.

Use case: monitoring of a server estate (on-premise or cloud), business applications, databases and network equipment. In the event of a critical incident, the on-call team must act without delay to restore service and limit business impact.

›
Goal: guarantee a 24/7 response to IT incidents and trigger a fast intervention (lower MTTR, service continuity).
›
Trigger: email or webhook from your monitoring tool (Centreon, Zabbix, Nagios, Grafana, Datadog…), P1/P2 ticket, or a message containing a keyword (e.g. "CRITICAL", "DOWN", "FAILED").
›
Filtering & prioritisation: triggered only for critical alerts (e.g. "SERVER DOWN", "DISK > 90%", "CPU > 95%", "BACKUP FAILED"), to avoid false alarms and prioritise high-impact incidents.
›
Routing to the right on-call engineer: call to the L1 on-call (operations), then escalation to L2 (infrastructure/systems) and L3 (applications) depending on the incident type (server, network, database, application).
›
Call + acknowledgement + escalation: voice call with keypress confirmation, automatic retries, then escalation if there is no answer until the response is confirmed.
Sample alert message

"SERVER ALERT: critical incident detected on SRV-PROD-01 (SERVER DOWN). Immediate intervention required. To confirm receipt, press 1; to replay, press 2."

Phone line alerts: line & hotline monitoring

Monitor your phone lines and guarantee a 24/7 response on your critical numbers (switchboard, hotline, night support, emergency number).
Every event (missed call, voicemail message, dead line) automatically triggers a notification and a cascade of calls to the person on duty, for an answer rate close to 100%.

Missed calls: automatic call to the duty manager

Goal: never lose a customer/patient/user call on a hotline or switchboard again.

  • Trigger: missed call detected on a critical line (night hotline, switchboard, after-sales number).
  • Immediate action: automated call to the on-call person + summary SMS (number, time, line).
  • Retries & escalation: retries, then escalation to a higher level if there is no confirmation.

Sample voice message:
"Phone line alert: missed call on the night hotline at 02:14. Please call back immediately. To confirm you are handling it, press 1."

SMS (optional):
"Alert: missed call night hotline 02:14 — callback required. Press 1 during the call to confirm."

Voicemail messages: immediate handling of urgent requests

Goal: speed up the handling of voicemail messages (after-sales, medical, breakdown services, on-call).

  • Trigger: a voice message is left on the voicemail of a monitored line.
  • Automatic alert: call + SMS to the duty manager with key information (line, time, priority).
  • Prioritisation: rules can be set (e.g. night / weekend = high priority).
  • Traceability: track who took charge of the alert, and when.

Sample voice message:
"Line monitoring alert: a message was left on the Emergency After-Sales line at 21:37. To confirm you are handling it, press 1."

SMS (optional):
"New voicemail — Emergency After-Sales 21:37. Prompt handling required."

Line tests: checking lines and detecting faults

Goal: automatically check that a critical number (switchboard, hotline, emergency line) is available and be alerted if something goes wrong.

  • Test routine: campaign across a set of lines (e.g. 10 numbers), at regular or random intervals.
  • Incident detection: if the line does not pick up, is unreachable or returns an error, the alert is triggered.
  • Action: automated call to the duty team + escalation if not handled, to trigger carrier/IT troubleshooting.

Sample voice message:
"Line test alert: the Site A Switchboard line did not respond to the automatic test. Intervention required. Press 1 to confirm."

SMS (optional):
"Line test failed: Site A Switchboard. Check carrier / forwarding / equipment."

Key benefits
  • 24/7 hotline and switchboard monitoring
  • Real-time missed call alerts
  • Voicemail alerts for immediate handling
  • Automatic tests to detect a dead line before it becomes critical
  • Escalation & retries until confirmation
  • Reporting / traceability (who received it, who confirmed, when)

Business Continuity Alerts: Evacuation & Business Continuity

Trigger a business continuity (BCP) alert in seconds to evacuate a site, inform teams and ensure operations resume quickly.
With mass automated calls (and SMS), you immediately mobilise the right people, in the right place, with clear instructions.

Fire safety: immediate notification
  • Mass automated calls to all employees in a building, a site or a targeted area (e.g. building A, workshop, 3rd floor).
  • Smart escalation: retry if there is no answer, then switch to managers (HSE, security, management) until confirmed.
Clear, simultaneous instructions (Call + SMS)
  • An SMS is sent at the same time summarising instructions: assembly point, restricted areas, contacts, link to procedures.
  • Standardised messages to avoid ambiguity in an emergency.
Campaign report and traceability
  • Real-time tracking: who received the alert, who answered, who confirmed.
  • History / reporting for audits, post-incident reviews and BCP improvement.

Lone Worker Protection Alerts by Phone

Protect your lone workers with a lone worker alert by phone: automated calls check on the employee's safety and trigger an immediate alert if there is no answer. The emergency response chain activates automatically (security control room, management, on-call) until the response is confirmed.

›
Check routine: automated calls at regular intervals to check that the lone worker is safe.
›
Triggering: if there is no answer or no confirmation (keypress on the phone), the lone worker alert is triggered instantly.
›
Automated emergency chain: cascade of calls to the security control room, then line managers and the on-call team, until the response is confirmed.
Sample alert message

"Lone worker alert: no response from the lone worker in sector B. Immediate intervention required. To confirm receipt, press 1; to replay, press 2."

Expert tip

The PLANITEL integration

For all these use cases, combine ALERTEL with PLANITEL: no more managing your lists by hand. As soon as an alert is triggered (missed call, server incident, IoT sensor, emergency plan, security…), ALERTEL automatically identifies the right scope (site, department, team) and queries PLANITEL to find the person actually on call at that moment.

The result: the alert is routed precisely to the right contact (L1 on-call, then L2 if needed), with retries and confirmation of handling. No more misdirected alerts, outdated numbers or wasted time: your teams receive the right alert, at the right time, on the right phone.

FAQ

What is an alert scenario at Alertel?

An alert scenario defines the chain of actions triggered by an event: who is contacted, in what order, through which channel (call, SMS), and how long to wait before escalating to a backup or a supervisor.

Can scenarios be customised for my industry?

Yes. Scenarios can be configured for a wide range of contexts: public alerts for local authorities, IT on-call management, industrial monitoring, service continuity in healthcare or retail.

How does automatic escalation work when nobody answers?

If the first recipient does not pick up or acknowledge the alert, the system automatically switches to a designated backup after predefined delays, until a supervisor is alerted if the whole chain stays silent.

Can several channels be combined in one scenario?

Yes. A scenario can combine automated voice calls, SMS and email notifications, choosing the channel according to severity and the required response time.
